We are often asked if there is any difference between submissions done manually or performed automatically. The answer is YES - They are different. How? You Won't Be Wasting Your Valuable Time - It takes DAYS to manually submit your site to 1,300 different Search Engines, Directories and Indices. Let us do this tedious work for you so you won't be having that splitting headache after staring at that screen for 48 hours trying to get it all done. Some search engines require that you submit your web site to them using their own submission form. Once your site is submitted, we must wait. It's that way for ALL web site owners so be patient. There is NO way to speed it up. It takes time.

"OK, so SiteSolutions.Com submits my site each month. How soon can I expect to see my web site included in the search engines?" The earliest possible we are seeing is usually AltaVista in 4-5 weeks. Other engines will begin to pick you up on the average of 2-4 months with some taking as long as 5 months. How Often Should I Submit My Web Site?

First, lets talk about why you should even have to resubmit your site at all. It would seem that if you submitted your site and got into the search engines and directories that that should be enough. Nothing could be further from the truth.

Directories: Most directories are setup to keep just the freshest submissions in their databases. That's why for directories, monthly submissions are an absolute must (the exception is Yahoo!).

Search Engines: On the other hand, Search Engines try to keep your site for a longer period of time. But, even then we see web sites dropping from them at an alarming rate. There are many reasons for this to happen from spider timeouts, to your hosting server not being available at the time of spidering, to even a sloppy database file rebuild on the part of the Search Engine. Lets just suffice it to say that if you depend on your web site for revenue generation and the Search Engines to keep your site indexed without monthly resubmissions, you are heading to disaster and www.ican'tfindmysite.com problems.

Now to the question, how often to submit. There are a diverse number of opinions on this subject. We have found the optimum time to be Monthly

Can I Have Multiple Domain Names Be Directed To Just One Web Site?

Many people have asked us this question. Here is what is meant. Can I have www.aaa.com, www.bbb.com, www.ccc.com, www.ddd.com, www.eee.com, www.fff.com, www.ggg.com, all direct anyone coming to them into their main web site, www.mydomainname.com? The answer is yes BUT, there is a warning that needs to be reviewed.

First, why would someone want to do this. Let's say that a company has several different products that are all covered in detail in their main web site. They have heard from someone that to "really get a lot of traffic" you should get many different domain names that match the names of your major products, then submit all those various names to the search engines. This way, you will have many times the normal chance of being found and, when a person is looking for your specific type of single product, you are more likely to come up higher in the list. Yes, this is true but it must be done correctly to be effective. If it's done wrong the results won't show up.

When most people try to do this, they talk to their web master or ISP and they are told this: "Just get all these domain names, I'll host them for you at a really low cost each. Then, I'll program my computers that when someone wants to see the product talked about in www.aaa.com that my computer will forward them automatically over to www.mydomainname.com. This way, you don't have to program all these different web sites with their own web pages, and also, since they don't have their own content, I can charge you less. We both win." WRONG!!!

What really happens is that the search engines see that it is being sent to another place during it's cataloging activity known as spidering, and refuses to list aaa, bbb, ccc, ddd, eee, fff, or ggg. Instead, they will only list the main site.

There is a way to work around this though and accomplish what the web site owner is attempting to do. First, the owner must have "real domains" meaning, do not use the forwarding method that their ISP recommended. Instead, have each of their domains have an "actual web page" in each of the domains. Each domain's single page shall be very focused to mentioning only the product that is mentioned in the web site name, i.e. for www.aaa.com, the meta tags for keywords, description and title should all talk 95% about "aaa" whatever aaa is. Also, you should have a few paragraphs on the actual web page itself that talks about your company and about your "aaa" product. Then have a button link that is marked to take them into your main web site, www.mydomainname.com/aaa.html, to the page that talks about that specific product. This is called a "Splash Page or Side Door."

We have simplified the instructions for creating side doors but the main point is this; If you attempt to have search engine submissions performed for web sites that have NO content but instead, they just point or forward the user over to your main web site, then you will be very disappointed with the search engine results.

How Do I Know I've Been Submitted?

What Happens After 12 Months?

Search Engines:
Search engines, such as HotBot, create their listings automatically. They gather information from several sources within your web site including Title, Keywords, Description and Page Content. Each engine operates under it's own rules so some use all of those sources, others use any sort of combination of them. See Meta Tags below for more information about meta tags.

If you change your web pages, search engines eventually find these changes, and that can affect how you are listed. Page titles, body copy and other elements all play a role.

Directories:
A directory such as Yahoo depends on humans for its listings. You submit a short description to the directory for your entire site, or editors write one for sites they review. A search looks for matches only in the descriptions submitted.

Changing your web pages has no effect on your Directory listing. Things that are useful for improving a listing with a search engine have nothing to do with improving a listing in a directory. The only exception is that a good site, with good content, might be more likely to get reviewed than a poor site.

When you search for a topic using a search engine you will almost instantly, sort through millions of pages that it has in it's database and present you with the ones that best match your search topic. The results will be listed with what it considers to be the best match for your search being listed first.

They don't always get it right. Sometimes pages that don't relate to your search make it through, and sometimes it may take a little work to find what you are looking for.

Search engines follow a set of rules, to determine which pages best match your search with the main rules being related to the location and frequency of keywords on the web page. It is often referred to as the location and frequency method.

Most search engines will place a heavy amount of emphasis on what is stated in the TITLE tag of your web page. How often a keyword or key phrase is mentioned in the web page is another major factor in how search engines determine relevancy. A search engine will analyze how often keywords appear in relation to other words in a web page. Those with a higher frequency are often considered more relevant than other web pages.

Now its time to qualify the location/frequency method described above. All the major search engines follow it to a point but each search engine operates a little differently from the others. That's why different search engines return different results for the exact same search.

To begin with, some search engines index more web pages than others. Some search engines also index web pages more often than others. The result is that no search engine has the exact same collection of web pages to search through.

Meta tags are often thought to be the "magic" behind being placed hi in the search engines. HotBot and Infoseek do give some small advantage to web pages that use keywords in their meta tags. But then others like Lycos don't even read them at all. You have probably seen examples where pages that don't have any meta tags still obtain a high position in the search engine. Remember, they are part of the overall solution to placement but they are NOT the only answers.

HTML, HTM, ASP, CGI or Database Delivery
       Return To Questions Some search engines have trouble with web pages that are generated "on the fly." Meaning that the data on the page comes from databases or from programs that create the page as and when it is requested. Therefore, try to use standard .html or .htm web pages at least on your main page. What or how you control your documents inside your site past your home page doesn't matter as much as your home page.

Meta Tags
       Return To Questions Meta Tags are a very important part of web page programming. Meta tags are used by most search engines (not all) to gather their information about your company and the services you provide. This information is stored by the search engine and is used by it to determine when your site should be included in it's search results and often times, where your site will appear in those results... towards the top or deeper in the list. See, they "are" important. Their not the Magic Answer but they can have a lot of influence.

There are numerous types of Meta tags but the most important are the ones for Keywords, Description plus a piece of code called the Title tag. We'll go into more detail about each of these in items below under their own separate topics, but let me state that you should have these in order to get the best results possible.

Do visitors to my site see these meta tags? Nope, they will only see the TITLE TAG which is located at the very top of their browser but not actually on your web page itself. Be sure to read the areas about each one of these tags. If your web site doesn't have them, then get them. They are easy to make and easy to install. We provide a free Meta Tag Generator which you can use to make the tags. Once completed just copy them into your web page programming or send them to your programmer via email and tell them you want them placed in your web page.

Meta Http-Equiv VS Meta Name

META HTTP-EQUIV, <META HTTP-EQUIV="" CONTENT=""> tags usually control the actions of web browsers. They assist the browser in knowing how to better display the web page.

META NAME=, <META NAME="" CONTENT=""> is used by the search engines as a source of information for their spidering and should be used for your keywords and description information.

Keywords is just a computer name for the words that people type into search engines when they are trying to find something. For example, if you were looking for sites about Mickey Mouse, you would go to a search engine and type in the words Mickey Mouse. The search engine then looks into it's database for sites that have those words and then it shows you a list of those sites. Well, Keywords are one of the areas that most engines will use to gather information about your web site. They will take your keywords and store them in their memory about your site so they know that your site should be brought up in the search results when someone is looking for "Mickey Mouse."

OK, so now you need to make a list of keywords... Wow, where to start? Don't worry, it's going to be easier that you think and we'll show you how to do it.

Take a piece of paper or open up your word processor and just start listing down single words or short phrases that you think you or others would use in a search engine to try to find your type of products or service. How many should you list? Well, let's say 50 to 100 words or phrases. Get a lot listed as you'll refine your list down some later.

1) Click here for keyword suggestions showing variables of your search word in "key phrases" and how many times they have been searched in the prior full calendar month.
2) Also, you can use another tool provided by Google® which provides the same basic information but often times suggests alternate words that you may want to use. It is located here.

For example, say your web site is focused on Dental Equipment. Anytime someone types "dental equipment" you are going to want your web page to be included in the search engines results and hopefully towards the top of the list.

Each page in your web site can and should have different keywords that relate to that page's specific content. For example, say you have another page about "X-ray Equipment". Then "X-ray Equipment" should be included in that web pages keywords.

Always try to list your keywords as Key phrases, meaning two or more words long. Usually, there will be thousands or millions of sites that relate to a single keyword. So choose phrases of two or more words, and you'll have a better chance of coming up against fewer sites and maybe rank higher than they do. Meaning, instead of using keywords like "dental, equipment" you should also use key phrases like "dental equipment" or "dental supplies."

IMPORTANT: Take the keyword or phrase that you think will be searched most often for your web site and PUT IT FIRST IN YOUR KEYWORDS.

Take the remainder of your keywords and key phrases and list them from the most important to the least important. Why? Because some search engines only take a limited number of keywords from your web site and therefore, you don't want to have your most important words or phrases towards the end of the keyword list as they may very well be cut off and not used. Put Your Most Important Words or Phrases FIRST. Also, just because you "can" put a ton of keywords in your meta tag does not mean its the best idea to do so. Keep focused for 2 reasons as many engines will use a scoring method which will take your keyword and compare it to the total number of keywords and therefore place a lower value on it "if" its part of 100 keywords VS 25 keywords. It's hard to do but Keep Focused.

Here is how your keywords should look:

Be sure to use the "PLURAL" of a word when possible. For instance: use hoses instead use hose. This way, people searching for either a hose or hoses will find you.

Description Meta Tag
       Return To Questions A Site Description is the text that will show up in most of the search engines next to your company name. In a sentence or two it provides information about what your business is and what you provide.

Not all search engines will show the same amount of Description in their search results. Some use 60 letters and spaces while others will use approximately 200-250 characters, letters and spaces. That is why you need to be concise and to the point. BUT ABOVE ALL, LIST YOUR MOST IMPORTANT KEYWORD FIRST and then put your other words.

We recommend that you use as many of your keywords in your site description as possible as they may help you obtain a higher position in the search engines results. However, it should not just be a repeat of your keywords. It should provide the reader with a compelling reason as to why they should chose your site over your competitors.

Here is what a properly written description should look like remembering our most important keyword and key phrase is "paint" and "painting supplies":

Title Tag

NOTE: The TITLE tag is absolutely without a doubt the MOST IMPORTANT TAG in your entire web site.

Your web site's title is part of your HTML programming that you or your programmer created which controls what appears on your monitor, computer screen, at the "Very Top" of the browser. Even above the words in your browser FILE, EDIT, VIEW, HELP etc. It may say your company name or just the word "index."

There are various opinions as to what should be placed there. The title section actually can have a GREAT INFLUENCE over where your web site will appear within a specific search engine's results.

IMPORTANT: This is very important. No matter what you decide is your #1 most important keyword or key phrase, you MUST put it as the first word(s) in your Title, Keyword, and Description Tags. I know... you might want to just put your company name as the first word in the Title... Don't Do It... Trust us and use our advice. If you feel compelled to put your company name in the Title Tag then do it like this: (this is assuming that paint and painting supplies are your most important key phrase)

<TITLE>paint and painting supplies - retail & wholesale - Johnson Paints of Denver Colorado</Title>

See how I put the most important keywords first; "paint and painting supplies". I also included their target market, "retail & wholesale" followed up by the company name and location. Now, think about your web site and see if you can come up with a good title tag using your information.

Please limit your web site title to no more than 100 letters and spaces as some engines won't use all of the letters/spaces and will only take maybe 50 so again PUT YOUR MOST IMPORTANT WORD or PHRASE FIRST.

Capitalization or Lower Case Your Keywords?

NOTE: Do Not Use ALL Caps In Your Meta Tags.

Most search engines are not case-sensitive but some are, which means a search in those engines for "Paint" will bring up return different results than a search for "paint."

Since you don't want to miss any potential sales, you can list both in your keywords. For example, returning to the paint example, you might do this;

paint, Paint, PAINT

You have to be careful though as some search engines will consider too much of this as an attempt to "Spam" their search engine.

What we recommend doing is using "paint, Paint" leaving out the all caps version. This will give you excellent results as hardly anyone uses all caps anymore like PAINT and helps eliminate the potential of being considered a word Spammer by the engines. You may also want to put the "Paint" a few words away from the "paint" word to kind of break it up a little.

Splash or Side Door Web Pages
       Return To Questions CAUTION: Some search engines do not like this type of page and may reject your site as a result. If however, you decide to proceed, then review the information below and look at the Sample Splash Page. You can see the source code for the splash page by clicking here.

These are easy to make web pages that are use very focused Title, Keywords and Description. By focused, we mean that if the topic is Hawaiian Vacation the you would want the following:

Title: Hawaiian Vacations

Description: Hawaiian Vacations - spend your vacation in Hawaii and enjoy all that a Hawaiian Vacation has to offer.

Keywords: Hawaiian Vacations, hawaiian, vacation, condo, holiday, hawaii, vacation

Page Content: Across the top of the page, put in large text letters the words Hawaiian Vacations. Make them large and DO NOT make them a graphic image. Search Engines cannot tell what a graphic image is so don't use it here.

Under the title mentioned above, put a graphic line, not an HR but a true graphic image line. In the image tag, use an ALT Tag where you can put in Hawaiian Vacations.

Put in 1-2 short paragraphs that discuss Hawaiian Vacation. Start the 1st paragraph with "Hawaiian Vacations."

Put in a few links to pages in your web site. Very Important, make sure that the first link is to a page in your site that is named hawaiian_vacation.html or .htm or .??? Just make sure the name is hawaiian_vacation as some search engines count this as favorable.

Auto Refresh Pages or DNS Redirect
       Return To Questions CAUTION: Some search engines do not like this type of page.

An AutoRefresh page is a page that you or your programmer have made up that when a person comes into your web site, they are sent to a specific page, like a splash page mentioned above and are kept there for a set amount of time, like 3-5 seconds. Then, the page is programmed to then automatically take the person looking at it to another web page without the person actually touching their keyboard.

This is done most often so people can use splash pages and not have to have the person looking at it have to click on a link in order to get into the real web site. Problem is that many search engine Do Not like this type of action and may even reject it from being included in that search engines results.

Additionally, an Instant DNS Redirect is not a good idea either and can prevent an inclusion in an engine. It's just always better to submit your "real" home page if at all possible.

Invisible or Hidden Text
       Return To Questions This is text that has been placed in your web site that is the same color as the background color. This hides the text from view from your human viewers but keeps it there for the search engines to see. CAUTION as some search engines actually penalize you for using this technique. It's best to just properly program your web page from the start and you won't have to resort to this type of activity. Remember, this can hurt your chances in many of the search engines.

Alt Tags
       Return To Questions This is a part of programming that is included in the image tag to display graphic images. You can put several words in the ALT area. The content of the ALT tag can be seen when a person places their mouse pointer over the image that the ALT tag is associated.

Many search engines will consider the information contained within the ALT tag as though it were regular text on your web page. This can be a good way to get a well-written sentence at the top of your page connected to your company logo etc., without having to actually display it.

An Alt Tag looks like this: <IMG SRC="" ALT="Keyword, keyword phrase etc">

Background Images
       Return To Questions We have all seen these. This is where a company logo or other image is repeated across the background of the web page with the text and other items on the page floating over the top of it. The use of these does not count positive or negative as far as the search engines are concerned. Therefore, the decision to use them is purely one of artistic value.

A background image is placed in the <BODY> tag like this:

Links
       Return To Questions Links that are on your web page to other pages in your web site can actually be of assistance to you search engine placement. When you have a link to other pages in your web site, it is best to have the new page named for that pages product or service. An example is, if you are linking to a page about screwdrivers then, name that page screwdriver.html or what ever extension you require. If the item or topic is more than one word, then do it like this, mickey_mouse.html.

Frames
       Return To Questions Frames are really great for navigation but they are a PROBLEM for many of today's search engines. Make sure that you have a complete understanding of frames and how to use them. Be sure that you have properly completed your NOFRAMES area. Don't miss that very important part. Also, remember; be sure to have your Title, Keywords and Description in place as well. Click HERE to see the proper use of tags in a Framed site.

Page Layout and Content
       Return To Questions Page layout can have a very strong influence over search engine positioning. Make sure that you have your keywords mentioned in your body content. Be sure that they are more towards the top of the page than towards the bottom. Make your most important keywords be paragraph headings (see below re Headings) in larger text than the balance of the paragraph they are above. This will place a special emphasis on them and some search engines will use that in ranking your web page.

Remember that search engines read a page from top to bottom and in the case of using tables, they will follow the table design. Therefore, make sure that you have your important text placed before any address or links in your page. Some search engines ignore meta tags and gain their information directly from your web page and will use the first 120-200 characters of text as the description that they display in the search results about your site. You don't want to waste that area to your street address or phone number or some page link information.

The number of times a word is mentioned on a page also has an affect on the search engine ranking. If they see a common theme throughout the page, they will score a higher score on that word(s). Be warned however, that repeating a word(s) too many times can actually hurt you as it can be considered "Word Spamming".

Do Not do this: paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint paint as many engines will either ignore any use of paint beyond 3-5 uses or even worse, they may reject your page completely. Discuss this with your programmer to make sure that you do not make a mistake in this area.

Headings
       Return To Questions

Many Search Engines use part or all of your sites actual text to help them decide who and what your site is about and, where to place you in their search results. As part of that information gathering, they often place special emphasis and a higher score on text placed in certain areas of the web page. Also, how the text is formatted plays an important role as well.

One of the most important areas of page content for the engines is a HEADER. This is text placed on your page, often the top center, of your web page that is positioned between HEADER tags. For example:

Headings are the larger print, or subtitles on a page. Headings appear in various sizes and are controlled by the HTML tags <H1>, <H2>, <H3>, etc. The proper layout of the Heading Tag looks like this:

Many engines will take the keywords within heading tags and assign them far more significance than words found in the body text. It's logical since headings often give an overview of a particular page or a separate topic for the page.

Why Is My Site Having Problems Getting Listed?

99% of the time there are no problems getting a web site listed in most engines. However, there are certain things that may exclude your site from being listed. Each search engine has it's own set of criteria that causes a "rejection" to happen. Some common areas are as follows:

  • Hidden Text: Text that is either too small or is made to be the same color as the background color.

  • Pages with off-topic or an excessive amount of keywords.

  • Duplication of content, either by excessive submission of the same page, submitting the same pages from many domains, or submitting the same page content from multiple hosts.

  • Word Spamming: Repeating a word over and over over over over over over over over.

  • No Actual Text On The Page: A page comprised of just graphic images with none or very little text.

  • Web Site Loads Very Slow: A slow loading page may appear to be "down or broken" and excluded.

  • Web Site Was Not Reachable By The Crawler/Spider: Sites must be available at the time the engine spiders it or it will be excluded.

  • Cloaking Was Detected On Your Web Page: Sites that are "cloaked" are often times rejected by engines.

  • Site Is Under Construction: Some engines do not want sites that are incomplete.

  • Splash or Doorway pages, or machine-generated pages with minimal or no content with the sole purpose being to get a user to click to another page. Pages that contain Auto Refresh codes are sometimes excluded.

  • Pages that contain AutoRefresh codes or Redirects, or a DNS that instantly points the user to another domain location are sometimes excluded.

  • Dynamic Pages often block Web crawlers. Giving your visitors unique experiences, tailored to their needs, is nice but the techniques you use to do that could stop search engines from indexing your content and therefore could greatly reduce your potential traffic. Dynamically generated pages are created on the fly from a variety of elements held in databases. Usually this type of page has a question mark (?) in the URL. When a search engine crawler arrives at that type of page, it captures the content but then halts immediately, and will not follow the links, because it sees ahead of it an unknown infinite number of pages -- a black hole that would trap the server and bring it to a crash.

  • Pages that have these symbols in the URL: ampersand (&), percent sign (%), equals sign (=), dollar sign ($) or question mark (?). Many spiders do not recognize them.

  • Pages that contain only links to other pages or domains.

  • Active Server Pages, pages that end with (.asp) that have question marks in their URLs (indicating that the page is a script for the construction of a page, rather than just static content) are most often not indexed.

  • Hate Sites or Illegal Content: Sites that profess hate or illegal activities are sometimes excluded.

  • Be Careful Who Your Neighbors Are: Be careful about where you have your pages hosted. If the hosting service also hosts spammers and pornographers, you could wind up being penalized or excluded simply because the underlying IP address for that service is the same for all the virtual domains it includes. You see, when search engines detect a "search engine spammer" or other websites that they want to exclude from their search engine, they can and often do "BLOCK" ALL submissions from that particular IP Address or Hosting Machine. This means that if your web site is on the same IP address or same Hosting Machine as the "blocked" website, your site may also very well be blocked from that engine. If your having problems getting your web site listed on many of the engines. You may have been blocked due to your neighbors. You may want to request that your Hosting company move your site to another machine or IP address.

Here are some direct quotes from various search engines as to their acceptance guidelines. Note that they have very similar guidelines as do the other engines that are not included here. If you are doing one of these things, chances are you are going to have problems getting listed with some or all engines.
